Overview

Kings Road Church (KRC) is a Christian charity (no.1186968) established in 1874 as a place of worship for the Plymouth Brethren and functions today as a Free Church at the heart of Berkhamsted town centre.

This document is a Privacy Notice for regular attendees of KRC, attendees at KRC events and anyone who hires the KRC buildings. It pertains to personal data owned by you and given to KRC. It sets out why we collect your data, how we use it, how it is kept safe and your rights about how we process your personal data. Your data

KRC collects ‘personal information’ (data) about you when you register as a new regular attendee of KRC by completing a digital consent request form. By signing this, you are giving KRC consent to use your personal information which will be stored in ChurchSuite.

KRC also collects information from individuals and organisations which hire rooms/facilities, attend any KRC events and from international mission partners.

How we use your personal data

We use your personal data for the following purposes:

  • to administer church attendees records
  • to collect and process regular giving & donations (including the processing of Gift Aid)
  • to maintain our financial accounts and records
  • to contact each other, provide news and information about KRC events, activities and services
  • facilitate effective management of volunteer teams and rotas
  • to fundraise and promote the interests of KRC
  • effectively manage room and facilities bookings
  • to fulfil legal obligations including First Aid reporting, DBS checks and Safeguarding procedures
  • to register attendance at KRC/KRC events or for insurance/Health & Safety purposes

Sharing your personal data

Your personal data will be treated as strictly confidential and will only be shared with other church attendees for purposes connected with KRC and in line with your visibility preferences in My ChurchSuite. KRC will not share data with other agencies such as local authorities, funding bodies and other voluntary agencies, without prior consent from you.

KRC may disclose information we hold about you to:

  • comply with our legal obligations
  • the KRC appointed Accountants: STF Accounting
  • HMRC (if you authorise KRC to claim Gift Aid on your donations)
  • KRC external event venues if you have elected to attend an event
  • the KRC appointed Auditor: Summers Morgan

How long do we keep your personal data?

KRC will retain your personal data on the following basis:

  • details and records of consent will be kept for 3 years after you have ceased attending church
  • if you authorise KRC to claim Gift Aid on your donations, we are required to keep a record of your declaration and your name and contact details on file for a minimum of 7 years (after the calendar year to which they relate) and to provide details to HMRC on request

Your legal rights; how to access, rectify or remove your data

You have the following rights with respect to your personal data;

  • to request a copy of the personal data that KRC holds about you (a Subject Access Request/SAR)
  • to request that KRC correct any personal data if it is found to be incorrect or out of Personal information is expected to be controlled by church attendees through their own access to My ChurchSuite
  • to request your personal data is erased where it is no longer necessary for KRC to retain such data
  • the right to object to or withdraw your consent to KRC controlling or processing your data at any time
  • where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing
  • to lodge a complaint with the Information Commissioner’s Office
